Reactivate old MCA leads: CRM, dialer or AI voice agent

By Chase Williams. . Updated .

In short

Reactivating an old MCA lead file takes a system of record, a way to call, and someone to take the call. An MCA CRM holds the file, a dialer helps your reps call it, and an AI voice agent makes the calls and hands ready merchants to your reps. Pick by file size, rep time and what you already own.

Short answer: what software reactivates old MCA leads?

Reactivating an old MCA lead file takes three things: a system of record, a way to call, and someone to take the call. MCA CRMs, dialers and AI voice agents each cover a different part, and the table below shows who makes the calls in each.

This is a guide for ISOs, brokers and funders with in-house sales. Vendor facts come only from each vendor’s own public pages, linked below, as read on 2026-10-21. Where a page does not say who makes the calls, the table says so. Check their sites before you buy, because pages change.

Why aged files go unworked

Aged leads are leads you already paid for. Once they age out, that spend is written off.

Most leads need more touches than a rep can spare, so floors pick breadth and the old files sit. Growing call volume usually means hiring more reps, and new reps work the fresh leads first.

On an aged file, your only competition is the trash can. Any merchant who picks up and still needs capital is a new opportunity.

Software types compared: who makes the calls

Tool type Example vendor What its own page says Who makes the calls
MCA CRM or servicing platform LendSaaS Its renewals post describes tracking repayment progress and flagging renewal eligibility for funded merchants. Not stated on that page. Ask the vendor.
MCA CRM for brokers and funders Centrex Its MCA CRM page lists pipeline management, one-click lender submissions, commission tracking and text messages for brokers. Its menu lists dialer and phone system integrations. Not stated on that page. Ask the vendor.
Lending platform Lendflow Its overview page describes a lender network, decisioning and workflow automation, with brokers and ISOs among its users. It also lists a Voice AI Agent among its automation products. Not stated on that page. Ask the vendor.
Dialer for reps Convoso Its aged lead guidance advises setting contact frequency by lead age and resting leads after unsuccessful attempts. Not stated on that page. Ask the vendor.
AI voice agent LeadRefinery Works the file you upload on a cadence we set, then hands ready merchants to your reps. The AI voice agent. Every call opens by confirming the right person, then it says it is an AI.

MCA CRMs and servicing platforms

A CRM is where the file lives. LendSaaS and Centrex both describe software for MCA deals.

LendSaaS describes tracking repayment progress and flagging renewal eligibility for funded merchants. That is renewal work on funded deals. The post does not describe working a cold file of old leads.

Centrex lists pipeline management, lender submissions and commission tracking for brokers, plus text messages. Its menu also lists dialer and phone system integrations. Ask Centrex how reactivating an old file would work in practice.

A CRM fits better than us if your problem is tracking deals, submitting to funders, paying commissions or running renewals. It also fits if your reps already have the time to call the old file themselves. LeadRefinery does not replace it. Today you upload the file you want worked. CRM sync is next on the roadmap.

Lending platforms

Lendflow’s overview page describes access to a lender network, decisioning and workflow automation, with a broker enablement use case. The page does not describe reactivating an old lead file. It does list a Voice AI Agent among its automation products, so ask Lendflow what that covers before you assume either way.

Dialers for reps

A dialer helps your reps make more calls in the same hours. Convoso’s aged lead guidance suggests adjusting contact frequency by lead age and resting leads after unsuccessful attempts. Convoso also describes lead-level control over dial attempts and dispositions.

A dialer fits better than us if you have reps with spare hours and a file small enough for them to work. It also fits if you want your own people on every call. If you want to know what else a dialer vendor offers, ask them directly.

An AI voice agent: what LeadRefinery does with a file you upload

LeadRefinery is an AI voice agent that works the aged leads already sitting in your CRM. You upload the file and watch results in the web app. Your reps don’t need logins. It only calls the files you give it.

It is fully managed. We provision and register the phone numbers, check their health every day, and set the cadence, timing and pacing for every lead. Before any call, every lead is scrubbed for federal Do Not Call, state Do Not Call, known litigators, business status, line type and number deliverability. Calls go out only inside local calling hours.

Every call opens by confirming the right person. Then the agent says it is an AI. When a merchant wants to talk, the agent hands them back by live transfer to your rep, a booked callback, or your application link. Live transfers come with a short brief for your rep. Every call keeps a recording, a transcript and one clear outcome.

Any campaign can be paused or stopped at any time. For more on how it works, read what an AI sales rep does for an MCA broker and the guardrails. If you are comparing AI options, see what to check before you buy an AI voice agent and AI SDR and calling tools for MCA brokers and lenders.

What the law asks of any AI calling option

This section is not legal advice. Ask counsel what applies to your files.

The FCC has confirmed that the TCPA’s rules on artificial or prerecorded voice cover AI technologies that generate human voices. Calls that use them require the prior express consent of the called party. That applies to any AI voice option in the table above, including ours.

The rule text, 47 CFR 64.1200 on eCFR, covers calls made with an automatic telephone dialing system or an artificial or prerecorded voice. It also says a called party may revoke consent by any reasonable method. Ask counsel how it applies to a dialer as well.

Old files raise the obvious question of what consent you hold and when you got it. A scrub does not answer that. Only upload leads you have consent to call. Any opt-out ends contact with that merchant on every channel.

How to decide: file size, rep time, what you already own

  • Reps with spare hours and a small file: a dialer, or the phone tools tied to your CRM, may be all you need.
  • A large file and no spare rep hours: an AI voice agent makes the calls so your reps spend their time on merchants who are ready.
  • Deals, funder submissions and renewals to track: you need a CRM or servicing platform either way. Keep it.
  • A mix of all three: this is common. The tools stack, because each one does a different job.

Ask each vendor three things. Who makes the calls? What happens when a merchant says yes? What do I need to hand over to start?

How to work an aged file, step by step

Step 1: pick the right files

Start with files that showed intent, then the ones you never reached:

  • Merchants who applied and stalled
  • Declines from months ago whose situation may have changed
  • Callbacks that went cold
  • Leads that never answered

Leave out anyone who asked not to be contacted. Leave out live deals your reps are working.

Step 2: clean the list

Before a single call, scrub the file. A clean file keeps you from paying to call dead numbers and closed businesses. Scrubs don’t replace consent, so have counsel confirm what consent means for your files.

Step 3: work it on a steady cadence

A merchant needs capital when something happens: a truck breaks down, payroll comes due, a big order lands. You can’t predict the week. You can be the one who calls when it comes.

That means steady touches over time, inside each merchant’s local calling hours. A rep fitting calls in between fresh leads can’t keep that up across a whole file. A dialer with good cadence rules can help. A managed AI voice agent sets the cadence for you.

Step 4: hand off the moment they say yes

Speed matters once a merchant raises a hand. Give them three ways in:

  1. A live transfer to a rep who is free now
  2. A booked callback at the time they pick
  3. Your application link, sent by text or email

We cover when to use each one in live transfer vs callback vs application link. Callbacks go to your rep at the time the merchant chose. When a merchant says “check back later,” put the lead on that date instead of dropping it. That is your future pipeline.

Step 5: track what funds

Mark every delivered opportunity: not worked yet, application in, funded, or lost. In the LeadRefinery web app your team updates deal status, and it shows delivered opportunities, future pipeline, live calls and every call record. Whatever tool you use, the habit shows you which files are worth working again.

If you have an old file and not enough rep hours, we can walk through it together and tell you plainly whether a dialer or your CRM fits better.

Questions

What software can an ISO use to reactivate old merchant cash advance leads?
Three types cover the job. An MCA CRM or servicing platform holds the file, a dialer helps your reps call it, and an AI voice agent makes the calls for you. Most shops combine them.
Is a CRM or a dialer better than an AI voice agent for old leads?
It depends on rep time and file size. If your reps have spare hours, a dialer or the phone tools tied to your CRM may be enough. If they don't, an AI voice agent can make the calls.
Does an AI voice agent need consent to call a merchant?
The FCC has confirmed that the TCPA's rules on artificial or prerecorded voice cover AI technologies that generate human voices, and those calls require prior express consent. This is not legal advice. Ask counsel what your files allow.
Does LeadRefinery replace my CRM?
No. You upload the file you want worked and watch results in the web app. Your CRM stays your system of record. CRM sync is next on the roadmap.
What happens when a merchant says yes on an AI call?
The agent hands the merchant back by live transfer to your rep, a booked callback, or your application link. Every call keeps a recording, a transcript and one clear outcome.
When does a lead count as aged?
When your reps stop calling it. The cutoff differs by shop, so use your own rule and keep it consistent.
Is it legal to call aged leads?
It depends on the consent you hold and the merchant's state. Scrub every file before calling and have counsel review your setup. This guide is not legal advice.
Do I need to hire reps to handle what comes back?
Start with the reps you have. What comes back is merchants who said they want to talk, which is the work your reps want.
